Labour-code transition: effective 21 November 2025, only the PF and ESI rows on this calendar trace back to it — both Acts were repealed and carried into the Code on Social Security, 2020, with the 15th-of-the-month due date and contribution rates carried forward unchanged at implementation. TDS Sec 192 is Income-tax Act territory, entirely unrelated to the labour codes. Professional Tax and LWF are state subjects (Article 276 and individual state LWF Acts respectively) that the four central codes do not touch at all.

How the payroll compliance calendar is built

Indian payroll compliance runs on at least six separate statutory clocks that rarely line up: PF (monthly, 15th), ESI (monthly, 15th), TDS on salary under Section 192 (monthly, 7th — except the March deduction, which gets an extended 30 April deadline), Form 24Q (quarterly), Form 16 (annual, 15 June), and then two state-specific levies — Professional Tax and the Labour Welfare Fund — whose cadence (monthly, half-yearly or annual) and exact due dates vary state by state. This tool lays every one of those out across a single financial year, for the state(s) and applicability toggles you choose.

The central due dates (PF, ESI, TDS 192, 24Q, Form 16) are stable, long-standing rules under the EPF Scheme, ESI (General) Regulations, and Income-tax Rules 30/31/31A — they don't move often, though CBDT and EPFO/ESIC do occasionally amend them, so always check for a more recent circular. The state PT and LWF entries carry the same verification labeling as CORAA's dedicated Professional Tax and LWF calculators: where an exact due day could not be independently confirmed, the calendar marks it rather than guessing a specific date.

One transition worth tracking separately from all of that: effective 21 November 2025, the EPF Act 1952 and ESI Act 1948 were repealed and carried into the Code on Social Security, 2020 — the PF and ESI rows on this calendar reflect the due dates and rates that carried forward at implementation. TDS Sec 192 (Income-tax Act) and the state PT/LWF entries are unrelated central-tax and state-subject matters respectively, and neither was touched by that transition.

July is one of the busiest months on the calendar — it carries the monthly PF/ESI/TDS cycle, the Q1 Form 24Q filing, and Maharashtra's half-yearly LWF remittance, all landing within a few days of each other.

Common mistakes

Treating every month as identical
Only four months carry a Form 24Q filing (Jul/Oct/Jan/May), only one carries Form 16 (June), and April is the one month where the TDS deadline moves from the 7th to the 30th (for the March deduction) — a calendar built by simply repeating "PF/ESI/TDS due monthly" misses these exceptions.
Assuming state PT/LWF due dates transfer between states
Maharashtra's LWF cycle (15 Jan/15 Jul) does not apply to Karnataka (which pays once, on 15 January, annually) or Kerala's Shops & Establishments scheme (monthly, 5th). Reusing one state's calendar for another silently misses or duplicates a due date.
Missing the March→April TDS exception
TDS deducted on salary paid in March gets an extended deadline of 30 April — not the usual 7th-of-next-month rule. Employers who apply the standard 7-day rule to March risk an interest exposure they didn't need to take.
Not distinguishing deduction date from filing date
Form 24Q's quarterly filing date (e.g. 31 July for Q1) is separate from the monthly TDS deposit dates within that quarter (7 May, 7 June, 7 July) — the filing summarises three months of deposits that were each already due earlier.
Assuming the whole calendar shifted with the Labour Codes
The four central Labour Codes that took effect 21 November 2025 only touch PF and ESI on this calendar — both now sit within the Code on Social Security, 2020, with due dates and rates carried forward unchanged at implementation. TDS Sec 192 is Income-tax Act territory, untouched by the labour codes; Professional Tax and LWF are state legislation under Article 276 and individual state LWF Acts respectively, also untouched. Don't treat the transition as a reason to re-verify every row — only the PF/ESI entries trace back to it.

The Electronic Challan-cum-Return (ECR) must be filed and PF dues remitted by the 15th of the month following the wage month.
When is ESI due?+
ESI contributions are due by the 15th of the month following the wage month, under the ESI (General) Regulations.
When is TDS on salary (Section 192) due?+
By the 7th of the month following deduction — except for the March deduction, which gets an extended deadline of 30 April, under Income-tax Rule 30.
When is Form 24Q due?+

Why do some calendar entries say "see note" instead of an exact date?+
Because we could not independently confirm the exact due day for that state's Professional Tax or LWF cycle this session — rather than show a possibly wrong date, the calendar flags it and points to the fuller verification notes in CORAA's Professional Tax and LWF calculators.
Did the new Labour Codes change any of these due dates?+
Only the PF and ESI entries trace back to it — both now sit under the Code on Social Security, 2020, effective 21 November 2025, with the 15th-of-the-month due date and contribution rates carried forward unchanged at implementation. TDS Sec 192 is governed by the Income-tax Act and was never part of the labour-code consolidation. Professional Tax and LWF are state subjects (Article 276 and individual state LWF Acts respectively) that the four central Labour Codes do not touch at all.
