Treat tax-audit filing as a sequence: taxpayer assignment, CA acceptance, preparation and upload, CA verification, then taxpayer acceptance and verification. A CA-side upload confirmation should not be the only evidence used to close the engagement's filing tracker. Workflow checked: 7 September 2026. This is a troubleshooting checklist, not a report of a currently confirmed portal outage. Follow the labels and validation messages in the live portal and the utility applicable to AY 2026-27.

Before the file reaches the upload screen

Confirm the taxpayer, assessment year, form package, filing type and assigned CA. Check registrations and signing readiness early. An engagement can be technically complete while its submission is blocked by the wrong assessment year or an unavailable authorised signatory.

The Department's prerequisites include taxpayer/CA portal registration, active PAN status, the form assignment and valid active DSCs. Department filing FAQ.

Maintain an internal readiness line for each of these items. Record completion status, not passwords, private keys or authentication codes. The relevant person should retain control of their own credentials and signature.

Separate data errors from workflow errors

When submission fails, start by recording the exact message, time, selected assessment year, form and utility version. Then classify the issue.

Do not change an accounting figure simply to make a validation message disappear. Resolve whether the issue is a genuine reporting error, a field-mapping problem or a technical failure. Where unresolved, use the official help channel and preserve the reference.

Freeze the approved version before generating the filing output

Use a simple three-document tie-out: final accounts, reviewed Form 3CD particulars and the file selected for upload. Record a version identifier and preparer/reviewer approval.

For example, the accounts team may post a late depreciation adjustment after the tax-audit schedule was approved. Regenerating only the financial statements leaves the report and return preparation on different numbers. Identify every affected schedule, obtain review and regenerate the filing output from the approved source.

If a new utility release requires a fresh export, recheck the generated output. “Same input file” does not prove every field has carried over as intended.

Schedule taxpayer acceptance as a real task

The taxpayer has a separate action after CA submission. Assign an owner and a planned completion time before the filing day. Confirm who can review and verify the report, and send the approved report for that review through the firm's normal secure process.

The Department's 3CA-3CD manual directs the taxpayer to the pending-acceptance worklist and then to verification. Keep the final transaction and acknowledgement details after successful completion. Form 3CA-3CD user manual.

A useful tracker has separate timestamps for CA submission and taxpayer completion. The separation prevents a list of “uploaded” files from being mistaken for a list of completed filings.

Do not use rejection or revision as an informal reset button

Before taxpayer acceptance, investigate discrepancies and use the appropriate portal workflow. After completion, a potential correction requires a separate assessment of the legal basis and current procedure for revision. The existence of a software option is not, by itself, permission to revise a report for any reason.

Preserve the original report, the issue identified, the approved correction and the relevant filing evidence. Do not overwrite the original file or invent a signing date to make the sequence appear cleaner.

A practical closeout record

For every engagement, keep PAN/entity reference, assessment year, report package, applicability conclusion, approved report version, signing details, CA submission reference, taxpayer acceptance/verification status and final acknowledgement. Add the related return-preparation handoff so the ITR team uses the same figures.

Frequently asked questions

Is the tax audit finished as soon as the CA uploads the JSON?

The portal workflow also includes verification and taxpayer acceptance. Confirm the completed status and retain the final acknowledgement before closing the filing tracker.

What should we do when the utility reports a validation error?

Capture the exact error, verify the applicable utility and inspect the affected fields against the approved workpapers. Correct the cause and review the regenerated output.

Should the client share the DSC password or OTP with the audit team?

Keep authentication under the relevant signatory's control. Schedule the authorised person's participation and record completion rather than collecting secret credentials.
