ChatGPT, Claude and Gemini for Accountants: Tasks, Limits and Safe Use

Which accounting tasks suit general AI chat tools, which do not, and the safeguards for client data, accuracy and review. No product rankings.

CCORAA Team6 October 20266 min read

General AI chat tools can speed up drafting, summarising and explaining, but they do not know your client's books, can state wrong things confidently, and may keep what you type. Use them for work a qualified person will review, keep client data out unless your firm has approved the plan, and check every rule or number against its source.

Last reviewed: 17 October 2026. Facts checked. We searched for guidance on these tools for accountants; the results were practitioner and training-provider articles, not professional-body guidance. OpenAI's enterprise privacy page returned 403, so we did not open any vendor's terms. One search result says OpenAI's consumer plans may use conversations for model improvement by default while business plans are excluded by default; we have not confirmed it on the vendor page. We found nothing on Gemini's terms. We do not rank the products and do not name model versions, because we did not verify them on vendor pages.

What these tools are

They are chat-style language models. You type a request, they produce text. They predict plausible wording from patterns learned in training. They are not accounting engines and do not read your ledger unless you give them the data.

The three named here are the ones Indian accountants ask about most. Their features change often, so choose by your needs: data terms, document handling, cost, and whether your firm has approved the plan.

Tasks that fit

Task Why it fits Safeguard
Draft a client email or query list Language task, low risk Remove names and figures
Summarise a long circular or contract you paste Condenses text Read the original for key clauses
Explain a concept in simple words Good at plain language Verify against the Act or SA
Draft a working paper outline Structure, not conclusions Reviewer completes content
Write an Excel formula or macro Technical help Test on dummy data first
Generate audit procedure ideas Brainstorming Judge relevance yourself
Turn notes into a memo Writing aid Check every statement

Tasks that do not fit

  • Final tax or audit conclusions. The professional decides.
  • Anything needing the latest section, rate or due date. The model may be out of date or wrong. Always check the primary source.
  • Calculations you cannot reproduce. Use a spreadsheet or a deterministic tool; our can ChatGPT do my audit post explains why.
  • Reading a full ledger. Large data sets and exact totals are weak spots.
  • Confidential data on a consumer account.

Limits to remember

  1. Hallucination. Invented section numbers, case names and figures are a known failure. See AI hallucinations in audit.
  2. Knowledge cut-off. Models know the world up to a date, and may not know the latest Finance Act or notification.
  3. Inconsistency. The same question can give different answers on different runs.
  4. Arithmetic. Totals and percentages can be wrong.
  5. No accountability. The signing accountant is responsible for the output, not the tool.

Safe use in seven rules

  1. Use only plans your firm has approved. Business or enterprise terms differ from free ones, so read them.
  2. Never paste PAN, GSTIN, bank details, payroll data or full trial balances into an unapproved tool.
  3. Anonymise: replace names with labels, round or scale figures where the task allows.
  4. Ask the tool to show its source, then open that source yourself.
  5. Re-run important calculations in Excel.
  6. Keep a note in the file of what AI helped with and who reviewed it.
  7. Do not let AI-drafted text go to a client without a person reading it.

India's DPDP Rules were notified in November 2025 with an eighteen-month phase-in, so personal data in client files deserves extra care. Our DPDP-safe prompt library shows how to word requests without exposing data.

How to choose between tools

Skip "which is best". Test them on your own anonymised tasks.

  • Pick five typical jobs.
  • Run each tool on the same inputs.
  • Have a senior reviewer score accuracy, clarity and time saved.
  • Compare data terms and cost.
  • Repeat when versions change.

Our AI audit tool evaluation checklist and our comparison of ChatGPT, Claude, Perplexity and Grok for Indian CAs give more structure.

When a general tool is not enough

If you need repeatable, defensible tests on full ledgers, a chat tool is the wrong shape. Fixed-rule analytics give the same answer on every run. CORAA's approach is explained in why CORAA uses deterministic AI.

Frequently Asked Questions

Can I put client data into ChatGPT, Claude or Gemini?

Only on a plan your firm has approved, with terms you have read. On free consumer accounts, avoid client data.

Which of the three is best for accountants?

We do not rank them. Test each on your own anonymised tasks and compare data terms, accuracy and cost.

Can these tools do tax calculations?

They can explain a calculation, but totals and rates can be wrong. Verify in a spreadsheet and against the current law.

Will AI replace chartered accountants?

Not the professional judgement and sign-off. It changes the drafting and summarising work that surrounds them.

How do I stop AI making up section numbers?

You cannot fully stop it. Check every citation against the primary source before use.
