Form 26Q Using AI: A Quarter-End Checklist for Deductors and CA Firms

Form 26Q review is strongest when the team reconciles the return to the payment population, not only to the previous quarter’s file. AI can accelerate the repetitive comparison and follow-up list, but the filed statement still needs a controlled preparer and reviewer process.

The quarter-end sequence

  1. Freeze the payment and credit population for the quarter and record the extraction date.
  2. Map each payment to the proposed TDS section, rate, PAN status and deductee master.
  3. Tie deductions to challans, booking dates, deposit dates and the correct quarter.
  4. Compare the prepared statement to the ledger totals and exception register.
  5. Check correction statements, certificates and 26AS/AIS after filing or correction.
  6. Record the reviewer, unresolved items, next action and evidence location.

Keep salary and non-salary populations separate. Keep interest, late fee, short deduction and late-deposit issues separate from a genuine missing deduction.

Good AI jobs

Give the model an anonymised, verified exception table and ask it to:

  • group rows by section, quarter, deductor or missing field;
  • identify inconsistent payee names and likely duplicate rows;
  • draft a follow-up list for PAN, challan, certificate or correction evidence;
  • turn a verified row into a concise exception note;
  • compare the current quarter’s open items to the prior-quarter tracker.

Require the output to return the source row, reason code, confidence and “needs human review”. Use spreadsheet formulas or deterministic code for totals, dates and duplicate challan checks.

What the reviewer must still decide

The reviewer must determine whether the payment is within the section, whether the rate and threshold treatment is correct, whether the timing cure applies, whether a correction is required and how the matter affects interest, late fee, Section 40(a) or Form 3CD Clause 34. An AI model should not invent a section citation or mark a return ready from a partial extract.
