Get the data right before fieldwork.

Send the request list after scope approval, not before. Each received file should carry extraction date, report filters, preparer, reviewer and version, so the RCM and monitoring tests can rely on a complete population.

How to prepare an internal audit data request list

An internal audit data request list, often called a PBC list, should translate the approved scope into specific reports and documents. Each request should identify the source system, expected owner, purpose of the audit test, due date and status.

The list should be sent after the SOW and cycle scope are agreed. If the data request is sent too early, management provides generic reports that do not match the RCM. If it is sent too late, fieldwork gets blocked by missing masters, logs and reconciliations.

The request list becomes the evidence intake tracker for the RCM. It is not only an email attachment; it is the control over whether fieldwork has a complete population.

Common mistakes

Requesting reports without extraction criteria
Ask for date range, company code, location, posting status, user fields and report filters. Otherwise the audit team cannot prove completeness.
Forgetting master-data change logs
Many exceptions sit in vendor, customer, employee, bank, SKU and user master changes, not only in transaction reports.
Mixing evidence requests with conclusions
A data request list asks for source information. Observation wording, severity and recommendations belong later, after testing and validation.
Not assigning owners
Every request needs a management owner. Without owner and due date fields, the PBC list becomes a static checklist instead of a fieldwork tracker.

What is an internal audit data request list?+

Is a PBC list the same as an RCM?+
No. The PBC list captures evidence requested from management. The RCM captures risks, controls, test procedures, evidence obtained, results and observations. The PBC list feeds the RCM.
