Ageing Analysis with Custom Buckets.

Paste open items from any ledger, whether receivables, payables, advances or deposits. Set the as-of date and your own ageing buckets, and see the totals by bucket and by party.

Inputs

With limits of 30, 60 and 90 the buckets are 0 to 30, 31 to 60, 61 to 90 and over 90 days. Credit notes and receipts on account can be entered as negative amounts or in brackets. Items dated after the as-of date go to a separate first bucket.

Choose buckets that fit the question.

A standard set of buckets suits a standard report. Audit and credit control questions are often different: how much is more than 45 days past due, how much of this advance is older than six months, which suppliers are held beyond the agreed terms. Setting your own limits answers the question you actually have. The party view then shows who sits in the oldest bucket, which is usually where follow-up begins.

How the ageing is worked out

For each item the tool counts the days from the date in your data to the as-of date. The item goes into the first bucket whose upper limit is not less than the days. Items older than your last limit go into an "over" bucket.

If the date is the document date, the age is the time since the document. If it is the due date, the age is how long the item is past due, and items not yet due go in their own bucket.

Totals are then shown by bucket and by party. Negative amounts, such as credit notes, reduce the bucket they fall into.

Worked example — one invoice

An invoice dated 2 June 2026 for 84,000, as of 17 October 2026, with limits of 30, 60, 90, 180 and 365 days.

Inputs
Document date2 June 2026
As-of date17 October 2026
Limits30, 60, 90, 180, 365
Output
Days137
Bucket91 to 180 days
The 84,000 is added to that bucket and to the party total.

Common mistakes

Ageing from the wrong date
Ageing from the document date and ageing past the due date give different answers. Say which you used.
Netting unapplied receipts
Receipts on account that are not matched to invoices distort the oldest bucket. Show them separately if you can.
Ageing report not agreed to the ledger
The total should agree to the control account. A difference points to missing items.
