Enter the budget and actual hours for an engagement by grade, with your own hourly rates and the fee you agreed to bill. The tool shows where the hours ran over, the value of the time spent at your rates, and the realisation on the fee.
Rates are your own standard or costing rates for each grade. The sample figures are placeholders.
Realisation here is the fee divided by the value of hours at your rates. Whether fees are tax inclusive or exclusive, and how out-of-pocket costs are treated, is for you to decide. Enter the fee on the basis you want to compare.
| Grade | Budget h | Actual h | Over/(under) h | Over % | Actual value ₹ |
|---|---|---|---|---|---|
| Partner | 20.0 | 26.0 | 6.0 | 30.0 | 1,30,000 |
| Manager | 60.0 | 84.0 | 24.0 | 40.0 | 2,10,000 |
| Senior | 140.0 | 168.0 | 28.0 | 20.0 | 2,35,200 |
| Article assistant | 260.0 | 310.0 | 50.0 | 19.2 | 1,86,000 |
Realisation below 100% means the fee did not cover the time at your rates.
An engagement can finish on time and still lose money if senior hours ran over. Comparing budget and actual hours by grade, and valuing both at your rates, shows whether the loss came from the amount of work, the mix of staff, or a fee that was too low from the start. That is the input for next year's fee.
For each grade the value of hours is hours multiplied by the rate you enter. Budget value uses budget hours and actual value uses actual hours.
Realisation on budget hours is the agreed fee divided by the budget value. Realisation on actual hours is the fee divided by the actual value. Both are shown as percentages.
Overrun hours and overrun percentage are shown by grade so you can see which level absorbed the extra time.
Managers were budgeted at 60 hours and spent 84, at a rate of ₹2,500 an hour.
